How to use this template

Before the trip, fill in the yellow cells at the top — destination, number of travelers, number of days — then set a budget for each category in the Budgeted column. Be honest here; a budget you will actually follow beats an aspirational one. The totals row shows the full planned cost of the trip before you spend a cent.

During the trip, log what you actually spend in the Actual column — a quick entry each evening takes thirty seconds. The Variance column shows budget minus actual per category, turning red wherever you have overspent. That red is actionable intelligence: pull back on dining out because the activities category ran hot, and the trip still lands on budget overall.

Afterward, the summary figures tell the story: per-person cost, per-day cost, and the final over-or-under versus plan. Save the file with the trip name and date — after two or three trips you will have personal benchmarks that make every future budget sharper.

If travel companions split costs, use the Notes column to record who paid for what, then settle up once at the end of the trip instead of after every meal. One settlement is calmer than ten. And keep every booking confirmation email in a single folder — when the Actual column and your memory disagree about the hotel bill, the confirmation wins in seconds.

Frequently asked questions

Is this travel budget planner really free?

Yes. Download it, use it forever, no account or payment. It is supported the same way as our free tools — advertising on the site.

Can I use it for a business trip?

Absolutely — the categories work the same. Pair it with the expense report template when you get home: the Actual column becomes your receipt log.

What if our group splits costs unevenly?

Use the per-person figure as the baseline, then settle differences separately. The Notes column is handy for marking who paid what.

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open with Google Sheets; the formulas and conditional formatting carry over. It also works in LibreOffice.
