How to use this template
List every item you stock on the Inventory tab: SKU, name, category, how many you have, the quantity that should trigger a reorder, and what each unit costs. The stock value column multiplies quantity by unit cost automatically, and the total at the top of the sheet is your inventory valuation at a glance — the number your accountant wants.
The reorder level is the heart of this sheet. Set it to the quantity at which you must place a new order to avoid running out, accounting for supplier lead time. The moment on-hand quantity drops to or below that level, the status column flips to REORDER in red. The counter at the top tells you how many items need attention, so your Monday morning starts with a purchase list, not a scavenger hunt.
Update quantities as stock moves — after deliveries, sales, or a weekly count. Because the value and flags are formula-driven, the sheet is always current with no extra work. For small retailers, Etsy sellers, and workshops, this replaces the notebook or the whiteboard with something that does the watching for you.
Run a full physical count once a month and reconcile it against the sheet. Small discrepancies are normal — damage, miscounts, shrinkage — and catching them monthly keeps the valuation honest. Investigate any gap that repeats for the same item; it usually points to a process problem like unrecorded shop use or a supplier shorting deliveries. The tracker is only as good as the counts behind it.
Frequently asked questions
Is this inventory tracker really free?
Yes. Download it, use it forever, no account or payment. It is supported the same way as our free tools — advertising on the site.
How do the reorder alerts work?
Each row compares quantity on hand to your reorder level. When stock hits or drops below the level, the status cell turns red and reads REORDER. Raise the level for items with slow suppliers.
Can I track more than 50 items?
Yes. Insert rows inside the table and copy the formulas down from the row above — the value, status, and conditional formatting all extend with the row.
Does it work in Google Sheets?
Yes. Upload the .xlsx to Google Drive and open with Google Sheets; the formulas and conditional formatting carry over. It also works in LibreOffice.
