How to use this template
Start at the top: replace the business block with your details and logo (Insert → Pictures), then fill in the invoice number, dates, and your client’s information. Number invoices sequentially — INV-0001, INV-0002 — so nothing slips through the cracks.
Add a row per product or service in the item table: what it was, how many, and the rate. The Amount column is yours to calculate; keep the math visible so clients never have to wonder what they are paying for.
Set clear payment terms before you send — "due within 30 days" beats "due soon" every time. Save the finished invoice as a PDF (the layout stays pixel-perfect) and keep a copy filed by invoice number for tax season.
Frequently asked questions
Is this invoice template really free?
Yes. Use it for unlimited invoices, no signup or payment. It is ad-supported like the rest of the site.
Does the invoice calculate totals automatically?
This Word version is a fill-in layout — you type the amounts. If you want automatic math, grab our free invoice Excel template or use the invoice generator tool.
What should I include on an invoice?
At minimum: your business details, the client’s details, a unique invoice number, dates, an itemized list, tax, the total due, and payment terms. This template covers all of it.
Should I send invoices as Word or PDF?
Always PDF. Word files can reflow on the recipient’s machine; a PDF looks exactly the way you designed it, every time.
