How to use this template
Fill in the header and list every attendee — people who see their name show up. Then add your topics with a realistic time each; the total should fit the meeting slot with five minutes of buffer, not spill over it.
Assign an owner to every topic. An ownerless agenda item is a monologue waiting to happen. Send the agenda at least a day ahead so people arrive prepared instead of reading it for the first time at the table.
During the meeting, use the notes area to capture decisions and new action items, then convert those into next week’s "action items from last meeting" section. The loop is what makes agendas compound in value.
Frequently asked questions
Is this meeting agenda template really free?
Yes — download it and use it for every meeting, no signup or payment.
How far ahead should I send the agenda?
At least 24 hours before the meeting, 48 for anything important. An agenda nobody has read is barely better than no agenda.
How many topics fit in a 30-minute meeting?
Three at most. Give each a time box and stick to it — the template’s duration column makes overruns visible before they happen.
Can I reuse this weekly?
That is the idea. Save a copy per meeting date, carry unfinished items forward, and you will build a running record of what the team committed to.
