How to use the timecard calculator

  1. For each day you worked, enter the clock-in and clock-out times. Leave days off blank.
  2. Enter unpaid break minutes (a 30-minute lunch is 30). If an end time is earlier than the start time, the shift is treated as running past midnight.
  3. Enter your hourly rate and overtime rules. The federal standard is 1.5× after 40 hours a week; some states (such as California) also require daily overtime after 8 hours.
  4. Copy the summary to paste into an email, timesheet or invoice.

Tips for accurate timecards

Payroll systems usually work in decimal hours, not hours and minutes. 7 hours 45 minutes is 7.75 hours, not 7.45; this calculator shows both so you can enter the right number. Small rounding mistakes add up quickly: being off by 15 minutes a day is more than an hour a week.

Under the federal Fair Labor Standards Act, non-exempt employees must be paid at least 1.5 times their regular rate for hours over 40 in a workweek. Short breaks (typically under 20 minutes) generally count as paid time, while bona fide meal breaks of 30 minutes or more where you are fully relieved of duty can be unpaid. State rules vary: California, Alaska, Nevada and Colorado have daily overtime rules in some situations. When daily and weekly overtime both apply, the calculator counts each overtime hour only once.

Keep your own record even if your employer has a time clock. A simple weekly log makes it easy to spot missed punches or unpaid overtime, and if you are a freelancer billing hourly, it doubles as the backup for your invoice.

Frequently asked questions

How do I convert minutes to decimal hours?

Divide the minutes by 60. 15 minutes = 0.25, 30 = 0.5, 45 = 0.75. The calculator shows totals in both formats.

Can I enter an overnight shift?

Yes. If the end time is earlier than the start time (say 10:00 PM to 6:00 AM), the shift is counted as crossing midnight.

Are breaks paid?

Under federal rules, short rest breaks are paid and meal breaks of 30+ minutes can be unpaid. Enter only unpaid break time in the break column.

Does it calculate taxes?

No, it shows gross pay. Use our paycheck calculator to estimate take-home pay.
