How to use this template

Fill in the yellow cells at the top first: the employee's name, the Monday the week starts (the daily dates fill in automatically), and the hourly pay rate. Then each day gets a row — time in, time out, and break length in hours. Times use standard clock format like 9:00 AM; the sheet converts everything to decimal hours behind the scenes.

Hours worked is time out minus time in, minus the break. Anything over eight hours in a day lands in the overtime column, highlighted so it stands out, and is paid at time-and-a-half in the daily pay column. The totals row at the bottom sums regular hours, overtime hours, and gross pay for the week — the three numbers payroll needs.

Save one copy per employee per week, named with the week-starting date. At month end you have a clean, dated paper trail of every hour worked and every dollar paid, which is exactly what you want if hours are ever questioned.

For payroll accuracy, have employees review and initial their own timesheet before submission — even a quick glance catches the transposed times that cause the most corrections. Keep the rate cell updated when raises take effect, and never edit past weeks in place; save a new file per week so the historical record stays intact. Clean weekly files make quarter-end reporting a copy-paste job.

Frequently asked questions

Is this timesheet really free?

Yes. Download it, use it forever, no account or payment. It is supported the same way as our free tools — advertising on the site.

How is overtime calculated?

Hours beyond 8 in a single day are treated as overtime and paid at 1.5× the hourly rate. If your policy uses a weekly 40-hour threshold instead, adjust the overtime formula to reference the weekly total.

What time format should I use?

Enter times like 9:00 AM or 5:30 PM. Excel recognizes standard clock formats; the sheet converts them to decimal hours for the math.

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open with Google Sheets; the time arithmetic and formulas carry over. It also works in LibreOffice.
