How to use this template

Send it within 24 hours of the interview. Email is usually best for speed; a mailed letter can stand out for traditional industries or as a second touch after an email.

Make it specific. Mention one thing the interviewer said, such as a project, a challenge the team faces or a company goal, and connect it to one concrete thing you have done. Generic thank-you notes are easy to spot and add little.

Keep it short: three paragraphs or fewer. If you think you fumbled an answer, the third paragraph is a good place to briefly add what you meant to say.

If several people interviewed you, send each one a separate, slightly different note. Proofread names and titles carefully; getting a name wrong undoes the good impression.

Frequently asked questions

Do thank-you notes really matter?

Hiring managers consistently say they notice them, and a specific, well-written note can tip a close decision. At minimum it keeps you top of mind.

Email or handwritten?

Email first, within 24 hours, since decisions can move fast. A handwritten or printed letter can follow for a personal touch.

What if I interviewed with a panel?

Send each panelist a short individual note, mentioning something they personally asked or said.

Can I use it in Google Docs?

Yes. Upload the .docx to Google Drive and open it with Google Docs, or open it in Apple Pages or LibreOffice Writer. The layout and tables carry over.
