How to use this template

Log every payment in and every business expense out on the Log tab — date, client, what it was for, and the amount. Mark each row Income or Expense from the dropdown. The three example rows show the format; delete them when you are ready.

The Monthly Summary tab does the rest: income, expenses, and profit per month, all pulled automatically from your log by date. No manual tallying at tax time.

Set your estimated tax rate in the yellow cell (25–30% is a common freelancer starting point) and the sheet estimates what you will owe on the year's profit. Move that amount to a separate savings account monthly and April stops being scary. Pair with our free freelance rate calculator to make sure your rates cover it all.

Frequently asked questions

I'm not in the US — does the tax estimate still work?

The math is universal: profit times your rate. Just set the rate cell to whatever fits your country's self-employment taxes.

Can I track multiple years?

The summary is year-based via the yellow Year cell. For a new year, duplicate the file and change the year — clean separation, no formula surgery.

What counts as a business expense?

Generally: software, hardware used for work, home office share, professional services, business travel. When in doubt, log it and ask your accountant — having the record is what matters.

Why not just use accounting software?

Software is great at scale, but it costs monthly and wants your bank login. This is free, private, and teaches you your own numbers — many freelancers never outgrow it.
