How to use this template
Enter your total budget and guest count at the top. Each category's Budgeted column fills in automatically using standard wedding spending percentages — venue around 30%, catering 20%, and so on. Treat these as a starting point, not a rule.
As you book vendors, enter what you actually spend. The Remaining column tells you instantly whether a category is on track, and red highlighting flags anything over budget while there is still time to trim elsewhere.
Use the Deposit Paid column to track what you have already put down — it keeps cash flow visible so no due date sneaks up on you. Revisit the sheet monthly with your partner; the numbers keep the conversation objective.
Frequently asked questions
What percentage should each wedding category be?
The template uses widely cited averages (venue ~30%, catering ~20%, photo/video ~12%, etc.), but every wedding is different. Override any Budgeted cell with your own number — the formulas keep working.
Can I add custom categories?
Yes. Insert a row, type the category name, and copy the formulas from the row above. Totals pick it up automatically.
Does it track deposits separately?
Yes — the Deposit Paid column records what you have put down so far, separate from the total Actual Spent, so you always know what cash is still to go out.
Is this better than a wedding planning app?
Apps are convenient but often push vendor ads and lock your data in. A spreadsheet is free forever, fully customizable, and yours.
